Job Description


1 Full Time

Provide administrative and clerical support to the Director of Facilities and other Facilities managerial and supervisory personnel as needed.

• High School diploma or GED
• At least 21 years of age
• 1 year experience as an Executive Administrative Assistant or 2 years Administrative Assistant experience
• Valid driver’s license and be insurable on Company’s Policy

• Strong computer skills with experience in Microsoft Office – Word, Excel, Outlook and Power Point (ability to demonstrate proficiency)
• Strong organizational skills
• Strong written and verbal communication skills
• Customer service, interpersonal and teamwork skills necessary to maintain quality service delivery
• Accurate and detail-oriented
• Strong problem solving skills
• Ability to maintain high confidentiality
• Ability to work independently in a fast paced environment and manage multiple tasks in professional manner
• Ability to work cooperatively with all departments and vendors and independently with minimal supervision
• Ability to operate most office equipment (computer, fax, copier, etc)
• Ability to learn department internal programs and systems
• Ability to maintain large, wide spread filing system, efficiently take meeting minutes, and manage extensive amounts of paperwork

1. Composes and types confidential and general materials and communications.
2. Provides clerical support for outgoing mail, faxes, FedEx, e-mail and other types of information communication. Routes internal materials to appropriate areas.
3. Creates and maintains efficient filing and notification system and processes for department personnel and general materials.
4. Coordinates Manager’s and Supervisors’ schedules.  Maintains calendars for meetings and appointments.
5. Answers telephones and provides information to callers and/or routes calls to appropriate persons.  Provide property wide communications as it pertains to Facilities areas.
6. Manages purchase order process.  Prepares proposals for vendors and interoffice purchasing personnel.
7. Maintains accurate and proper department process and procedure records.
8. Takes meeting minutes with minimal interruptions.
9. Maintains Facilities department MSDS stations.
10. Maintains and collects information for annual property gaming license renewal.
11. Maintains and adjusts proper inventory controls within the Facilities area using appropriate spreadsheet and database programs.
12. Assists with coordination of department training. Maintains training files for both on and off property training and programs. 
13. Monitors and tracks the departmental budget and capital expenditures. Must be able to show current (real time) budgeted expenditures to management.
14. Maintains a working knowledge of Casino promotions, special events, programs, and services.
15. Assists in Wardrobe area in clerk responsibilities when needed.
16. Must adhere to the safety rules and regulations of the Little River Casino                           Resort and of the Facilities Department.

Must be able to sit for long periods of time.  Must be able to operate office equipment. Must be able to communicate using written, verbal, and computer methods.  Must be able to operate computer equipment for extended periods of time.  Must have the ability to independently lift up to 30 pounds occasionally.  Must have manual dexterity necessary to manipulate computer and office equipment.
Office, gaming and convention center environment with extensive computer use.  Must be flexible with work schedule.  Must be willing to work any hours and /or shift, as assigned, according to business needs.  Occasional overtime required.  Occasionally must deal with angry or hostile individuals.  High volume direct public contact.

Conditions of employment with Little River Casino Resort include passing a pre-employment drug test, a background investigation to secure a gaming license and successfully completing a three-month introductory period.  Must also maintain a valid Michigan Driver’s License and be insurable on our company’s policy throughout your time of employment with the Little River Casino Resort.  Candidates for this position will be required to have dependable transportation available to them without notice. Individual must not have been charged or released from employment or involved in anything which could be considered a liability to the Resort, e.g. harassment, theft, violence, or integrity issues.
